Privacy Policy

Last updated October 14, 2026

This policy explains what RM3 Automotive ("RM3", "we", "us") collects when you visit rm3auto.com, request or receive service, apply to work with us, or interact with our ads on Facebook and Instagram. It also covers the Meta developer app we use to manage our own advertising. We do not sell your personal information.

1. What we collect

When you request or receive service

  • Contact details: your name, phone number, email address, and the address where the vehicle is.
  • Vehicle details: year, make, model, and if you give them, the VIN, license plate and plate state, mileage, warning lights and error codes.
  • What is wrong: your description of the problem, and any photos, videos or video links you send.
  • The job itself: estimates, the signature and printed name you give when approving one, inspection results, notes about pre-existing damage, photos our technicians take of the vehicle, the work done, odometer readings, invoices and payment status.
  • Payment details: card payments are handled by Stripe on Stripe's own pages. We never see or store your full card number. If you save a card on file, we keep only the card brand, last four digits, expiry date and Stripe's reference to it.
  • Reviews: your star rating, your comments, and any contact detail you choose to include.

When you apply to work with us

Your name, contact details, city, work history, certifications, availability, pay expectations, references, your answers to the application questions, and any resume you upload.

When you visit the site

Like any website, our server receives your IP address, browser type and the pages you request. We use the IP address for security and to limit abuse, such as repeated form submissions. Our own analytics count page visits without cookies (see Cookies and analytics). Public pages also carry the Meta pixel (see Meta pixel and our Meta app).

When you call, text or email us

We keep the messages and the details you give us so we can answer and do the work.

2. How we use it

  • To quote, schedule, carry out and follow up on the work you asked for.
  • To send you your estimate, booking confirmation, arrival updates, invoice, receipts and service records.
  • To take payment, and to charge a fee you agreed to, such as a late cancellation fee stated on your estimate.
  • To keep a service history for your vehicle, so we know what was done and can let you view your own records.
  • To send occasional maintenance reminders by email, such as when an oil change may be due. Each one has a one-click unsubscribe.
  • To consider your job application and, if you are hired, to set up your technician account.
  • To publish reviews you submit, after we approve them, with only your rating, comments, the type of job and the month.
  • To measure which of our ads and pages bring in work, and to show our ads to people likely to need a mobile mechanic.
  • To protect the site, our customers and our staff from fraud and abuse, and to meet our legal obligations.

3. Who we share it with

We share personal information only with the service providers that help us run the business, and only what each one needs:

  • Our technicians see the details of jobs assigned to them, including your address, contact details, vehicle and photos.
  • Stripe processes card payments and stores saved cards.
  • Postmark delivers the emails our site sends, and Microsoft 365 hosts our email inbox.
  • Cloudflare carries traffic between your browser and our server and protects the site from attacks.
  • Anthropic (the Claude API) helps us draft estimates and maintenance suggestions. We send it the vehicle, the problem description, the requested time and mileage. We do not send it your name, phone number, email or street address.
  • The US National Highway Traffic Safety Administration receives a VIN when we look up the vehicle it belongs to, and the US Census Bureau geocoder receives the service address to check that it exists.
  • A license plate lookup provider may receive a plate number and state to find the matching VIN.
  • Meta receives information from the Meta pixel on our public pages, described below.

We may also disclose information when the law requires it, to protect our rights or someone's safety, or to a buyer if the business is ever sold. We do not sell your personal information, and we do not share your contact details with anyone for their own marketing.

4. Meta pixel and our Meta app

The Meta pixel

Our public pages (the home page, the town pages, the quote request page, the review page and the careers page) use the Meta pixel. It tells Meta that a page was viewed, that a quote request or job application was submitted, or that a phone or email link was tapped, along with standard technical information such as your IP address and browser, and a cookie Meta uses to recognize your browser. Meta uses this to report how our ads perform and to help show them to relevant people. The pixel is not used on private pages such as estimate, signing, payment, photo or records links, so those links are never sent to Meta. Meta handles this information under its own Privacy Policy.

Our Meta app

RM3 operates a Meta developer app for one purpose: managing RM3's own Facebook and Instagram advertising. It creates, edits and pauses our ads, uploads our ad images and videos, and reads performance reports for RM3's own ad account and Page, such as spend, reach, clicks and the number of conversations or calls our ads produced. Those reports are totals; they do not identify the people who saw or clicked an ad.

  • Nobody signs in to the app, and it does not use Facebook Login.
  • It does not read the content of Messenger conversations, collect leads, or access the profiles, friends or posts of Facebook or Instagram users.
  • It does not upload customer lists to Meta or build audiences from our customer records.
  • The performance data it reads is stored on RM3's own server, is used only to decide which of our ads to run, and is never sold or shared.

5. Cookies and analytics

  • Analytics. We count visits with our own software, on our own server. It sets no cookies, does not store your IP address and does not track you across sites; it records only the page, where you came from, your browser and screen size, and the country Cloudflare reports for your connection.
  • Meta pixel. On public pages, Meta sets a first-party cookie (_fbp) to recognize your browser for ad measurement.
  • Necessary cookies. Signing an estimate and signing in to the staff areas use cookies that keep the page secure and remember that you are signed in. They are not used for advertising.

You can block or delete cookies in your browser settings. Blocking the Meta cookie does not stop the site working.

6. How long we keep it

We keep customer, vehicle and job records, including estimates, signatures, invoices and payment records, for as long as we need them to stand behind our work, keep your service history, and meet tax and accounting requirements. Job applications are kept while we are hiring and for a reasonable time afterwards in case another position opens; you can ask us to delete yours at any time. Analytics data is kept as visit counts. Photos uploaded with a request stay with that job. When we no longer need information, we delete it.

7. How we protect it

The site is served only over encrypted connections. Uploaded photos, resumes and records are stored outside the public part of the website and are reachable only by signed-in staff or through private links sent to you. Private links use long random codes that cannot be guessed. Card numbers never reach our server. No system is perfectly secure, so please keep the private links we send you to yourself, and tell us straight away if you think one has been shared.

8. Your choices

  • Email reminders: use the unsubscribe link in any reminder, or ask us.
  • Texts: tell us to stop and we will.
  • Ads: you can control how Meta uses your information for ads in your Facebook or Instagram ad preferences, and you can block cookies in your browser.
  • Access and correction: you can view your service history at rm3auto.com/records using your name and VIN, and ask us for a copy of what we hold about you or to correct anything that is wrong.

Depending on where you live, you may have additional rights under your state's privacy law, such as the right to know, correct, delete or opt out of targeted advertising. Contact us to use any of them; we will not treat you differently for doing so.

9. Deleting your data

To ask us to delete your personal information, email [email protected] with the subject "Delete my data", or call (804) 687-8192. Tell us your name and the phone number or email you used with us, and the vehicle if you have one on file.

We will confirm your request, may ask a question to make sure it comes from you, and will complete it within 30 days. We will delete your contact details, photos, reviews, applications and other information we hold, except records we must keep by law or to settle an open payment or dispute, such as invoices for tax purposes. Those are kept only as long as required.

This applies to information that reached us through Facebook or Instagram as well. Our Meta app does not store personal information about Facebook or Instagram users. To remove information Meta holds about your activity on our pages, use your Facebook or Instagram settings, including Your activity off Meta technologies.

10. Children

Our services are for adults. We do not knowingly collect personal information from children under 13, and job applicants must be at least 18. If you believe a child has sent us information, contact us and we will delete it.

11. Changes to this policy

We may update this policy as our services change. The date at the top shows when it last changed. If a change materially affects how we use information we already hold, we will tell customers by email before it takes effect.
